RMA processing (Return Material Authorization)

To be able to handle articles you want to return to us fast and efficiently we systematized the process of RMA procedures. We therefore ask you to pay attention to the following procedure. In case of any questions regarding the RMA procedure please contact the qualified members of our service team.

For returns without guarantee:

Take advantage of the Heesemann repair service for your articles to permanently keep the sanding results of your Heesemann sanding machine on the highest level. New, unused articles can be returned to us after consultation.


For returns under warranty:

Articles offered by Heesemann are subject to a regular quality check. Despite extensive testing problems with sole products cannot always be excluded. We apologize for any inconvenience caused.

What has to be considered on the return of rejected goods?

  • For returns under warranty only: For articles obtained from Heesemann only we offer a service procedure free of charge.
  • In order to return some goods you need our RMA form. It is available for download on our website. Please consider: For articles returned to us without a RMA number delays may occur on processing. Possibly these parts may have to be returned to you without being processed.
  • Please fill out the form completely and truthfully. Always indicate the number of the delivery note or the invoice, the Heesemann article number and a description of the fault. Please consider: Incomplete information may delay the process.
  • Send the RMA form by e-mail to service@heesemann.de, by fax to +49 5731 188-139 or by mail to Karl Heesemann Maschinenfabrik GmbH & Co. KG, RMA, Reuterstraße 15, 32547 Bad Oeynhausen, Germany.
  • Our service team will send you a RMA confirmation and an internal RMA number. This e-mail will contain all necessary information regarding the processing of your complaint. 
  • Please return the goods within 5 working days. If possible please use the original packing and a proper type of packaging (parcel / pallet). Please make sure your shipment is covered by insurance sufficiently and return it with the following information:
  • Non-prepaid shipments cannot be accepted and will be returned with costs to the sender.
  • The goods are checked, cleaned if necessary, repaired respectively replaced. Our service team is pleased to give you information on the status of the process.
  • For returns without warranty we make an estimate of costs for the repair, maintenance respectively general overhaul after check or cleaning of the returned goods .


The warranty expires if:


  • the returned goods are not packed and shipped appropriately.
  • the specifications have not been complied at installation or in operation.
  • the goods have been damaged.
